Effective October 14, 2026 · DRAFT, have counsel review before publishing
BidChaser, Powered by Maverick ("we," "us"), is operated by Maverick Takeoff Solutions [LEGAL ENTITY NAME, e.g. "Maverick Takeoff Solutions LLC"], [POSTAL MAILING ADDRESS: PLACEHOLDER, REQUIRED BEFORE LAUNCH]. This policy explains what we collect when a subcontractor ("you") uses BidChaser to follow up on bids, and what we do with it.
If you choose "Connect Gmail" or "Connect Outlook," you give BidChaser permission to:
gmail.send; Microsoft Mail.Send), used only to send the follow-up messages you approved, as replies in your existing bid threads.gmail.readonly; Microsoft Mail.ReadWrite, which Outlook requires in order to create a reply draft), used only to (a) find bids in your Sent folder that you BCC'd to your intake address and (b) read messages in those bid threads to see if the GC replied. We do not read, store, or process other email in your mailbox. We store only the data for tracked bid threads: addresses, subject, dates, the reply text, and a short summary.
Google API Services User Data Policy. BidChaser's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, we do not use Gmail data for advertising; we do not sell it; we do not let humans read it except with your permission, for security or abuse investigation, or as required by law; and we do not use it to train generalized AI or machine-learning models.
You can disconnect at any time from your dashboard, from your Google account permissions, or from your Microsoft apps page. We delete the stored access token right away.
We do not sell personal information, and we do not use your contacts or your GCs' addresses for our own marketing.
To sort replies, we send the text of a GC's reply (not your whole mailbox) to an AI model provider [PROVIDER NAME] under terms that prohibit using it to train their models. If the AI is unavailable, we use simple keyword rules instead.
We share only the minimum needed with service providers who process data for us under contract: hosting ([Render/Railway]), email delivery and inbound parsing ([Postmark]), AI classification ([PROVIDER]), SMS ([Twilio], if you turn on texts), and payments ([Stripe]). We may also disclose information if the law requires it, or as part of a merger or sale of the business with notice to you.
We encrypt OAuth tokens at rest, use HTTPS everywhere, request the smallest mailbox permissions we can, and limit staff access.
We keep bid records while your account is active. When you cancel or ask us to delete your data, we delete tokens immediately and delete bid and reply data within 30 days, except for what we must keep for legal or billing reasons. To request deletion or a copy of your data, email support@mavericktakeoffsolutions.com.
If you received a follow-up from a subcontractor using BidChaser, the subcontractor is the sender and we act as their service provider. Reply "stop" to any follow-up and you won't get more automated follow-ups from that subcontractor.
Depending on where you live (for example California, Virginia, Colorado, or Canada), you may have rights to access, correct, delete, or port your information, and to opt out of certain processing. Email us and we'll respond within 30 days. We don't knowingly collect data from anyone under 16.
We'll post changes here and email account holders about material changes. Questions: support@mavericktakeoffsolutions.com, [POSTAL MAILING ADDRESS: PLACEHOLDER, REQUIRED BEFORE LAUNCH].
